Let Your Voice AI Agent Book Appointments During a Call
How to enable your voice AI agent to check availability and book an appointment while handling a phone call.
The same appointment engine used by text-based AI agents is also available to calls handled by your voice agent. That means a customer can call in, ask for a time slot, and hang up with the appointment already booked — no human involved.
Requirements
- An AI agent with at least one calendar and one service set up in the Appointments module.
- That agent assigned to handle voice calls.
Configuration
- Open the AI agent editor and go to the Actions tab.
- Under Native tools, turn on Check appointment availability and Book appointment.
- Save your changes.
With both tools on, the agent can first check which slots are free on a given date, then confirm the booking once the customer picks one.
How it behaves on the call
The agent is instructed to always confirm the time out loud with the customer before booking, and it only uses times the availability tool actually returned as free — it never makes one up. If someone else grabs that exact slot a moment earlier, the tool flags it and the agent offers another option right there on the same call, without hanging up.
Example
A customer calls to book a consultation. The voice agent asks which day works, checks availability, offers "I have 10:00 or 11:30 on Thursday," the customer picks 11:30, the agent confirms it, and the appointment is saved linked to the caller's contact.
Tips
- Turn on reminder/automation tools too, so the customer gets a reminder before the appointment.
- Check the service's minimum notice window: if it's set too high, the voice agent won't be able to offer same-day slots.
Troubleshooting
If the voice agent says there's nothing available, check the assigned calendar's business hours and holidays, and confirm the appointment tools are actually turned on under the Actions tab.
