Here are the three most common issues when working with Appointments, and how to resolve them.

"That slot was just taken" / "That slot is already taken"

This message shows up when two people tried to book (or reschedule into) the same slot within moments of each other, and one beat the other by seconds. It's not a system error — it's the collision check doing exactly its job. What to do: pick another time from the refreshed list — the system already updated it to show only what's genuinely still free.

"No slots available" on a day that should have openings

Before assuming something's broken, check in this order:

  1. That calendar's business hours for that day of the week — is it set up, and does it match what you expect?
  2. Holidays — is that date marked as a holiday?
  3. On an Agent calendar, that agent's work shift for that day.
  4. The service's minimum notice and max advance — they may be excluding the date you picked.
  5. Capacity on the service or calendar — if it's already full, no more spots open up even if the slot "looks" free.
  6. If the calendar has Google Calendar connected, an event on that account might be blocking the whole day.

An appointment isn't showing up where you expected

  • In the Agenda view, past and cancelled appointments don't show — look for it in Week or Month instead.
  • Confirm you're looking at the right workspace: appointments always stay within the workspace they were created in, they never mix across workspaces.
  • If you searched with a specific date range (e.g. by filtering), confirm the appointment's date actually falls inside that range.

Example

An agent reports "no slots on Thursday" for a support service. On checking, that Thursday had been marked as a holiday on the calendar — not a bug, just an active setting.

Tips

  • Whenever you see "no slots," check the calendar and service involved first before reporting it as broken.
  • Keep an internal checklist with the steps in this article so anyone on the team can diagnose it quickly.
