What Is the Appointments Module and Its Key Concepts
Learn what Omnifox's Appointments module does and the core concepts behind it: calendars, services, appointments, and booking links.
Omnifox's Appointments module lets you manage bookings and meetings without leaving the platform: customers can reserve a time slot themselves, your agents can schedule an appointment right from a conversation, and the system prevents double-booking automatically. You'll find it under Calendar in the side menu.
Key concepts
- Calendar: the schedule being booked against. It can belong to a single agent, a team, a resource (room, equipment) or be shared. Each calendar has its own business hours, time zone and holidays.
- Service: the type of appointment you offer (e.g. "30-min Demo", "Consultation"). It defines duration, buffers, and how many people can book the same slot.
- Appointment: the actual booking. It's linked to a calendar and a service, and — when it comes from a conversation — to the contact and the chat it originated from.
- Booking link: a public URL (
/book/...) where anyone can self-schedule without talking to an agent first. - Availability: the engine that works out, in real time, which slots are actually free.
Requirements
- The Appointments module enabled for your account (depends on your plan).
- At least one calendar created under Calendar.
Example
A sales team creates a "Sales" calendar, a "30-min Demo" service, and shares the booking link on their website. A visitor books a slot; the appointment shows up instantly in the assigned rep's Agenda, already linked to the contact.
Tips
- Start with one simple calendar and one service; add team calendars or resources later.
- If a customer is already chatting with you, book the appointment straight from the conversation instead of sending them the public link.
Troubleshooting
If you don't see Calendar in the menu, the module isn't enabled for your organization yet — ask an admin to turn it on, or contact support.
