Linking companies by email domain

Use a company's email domain to identify it and group every contact who writes in from that domain under the same account.

Every Company can store an email domain (e.g. acmecorp.com). It uniquely identifies the account and lets you group every contact who shares that domain in their email under it, instead of treating them as unrelated people.

Requirements

  • CRM permission to create/edit companies and link contacts

Steps

  1. When creating or editing the company, fill in the Domain field with the account's email domain (no "www" or "https://" — just acmecorp.com, for example). Omnifox always stores it lowercase.
  2. Before creating a new company, search by that domain to check whether the account already exists, so you don't end up with duplicates.
  3. Open the contact whose email uses that domain and link them to the matching company.
  4. Repeat step 3 for every new contact writing in from the same domain — they'll all share the account's owner, industry, and custom fields.

Example

Ana ([email protected]) writes in over WhatsApp and Luis ([email protected]) over Webchat. You create the "Acme Corp" company with domain acmecorp.com, link both Ana and Luis to it, and from then on they share the same account record: same owner, same industry, same custom fields.

Tips

  • Avoid setting a generic domain (gmail.com, hotmail.com, outlook.com) as a company's domain — it would group together contacts who don't actually belong to the same account.
  • Search companies by domain before creating a new one, so you don't end up with a duplicate "Acme Corp."

Troubleshooting

If a domain search returns nothing, check that you typed it with no spaces or uppercase letters — the match is exact against the stored value.
