Request data export or deletion (GDPR rights)

Request a full copy of your organization's data, or its permanent deletion under GDPR, from Settings.

What it is

Omnifox lets you exercise your data protection rights (GDPR) directly from the platform: request a full export of your organization's data as a downloadable file, or request its permanent deletion. Both requests are logged with their status and history.

Requirements

  • Owner or Admin role (the settings.manage permission).
  • No existing request of the same type (export or deletion) already pending or processing.

Steps — Export data

  1. Go to Settings > Privacy and data.
  2. Click Request export.
  3. Confirm in the dialog.
  4. You'll get a download link (ZIP file) within a few minutes; it will also show up in the request history table.

Steps — Delete data

  1. Go to Settings > Privacy and data.
  2. Click Request data deletion.
  3. Type the confirmation word exactly as shown in the confirmation field.
  4. Confirm. The request stays pending for a 30-day grace period, during which you can cancel it.

Configuration

  • The request history table shows type (Export/Deletion), status (Pending, Processing, Completed, Canceled/Error), grace period deadline, processed date, and a download link when applicable.
  • Only one export request and one deletion request can be active at a time — if you already have one in progress, you must wait for it to finish.
  • While a deletion request is inside its grace period, you can cancel it with the Cancel button in the same table.

Example

You need to hand a full backup of your organization's data to an auditor. Go to Settings > Privacy and data, click "Request export," confirm, and a few minutes later download the ZIP from the request history table.

Tips

  • If you're planning to close your organization, export the data first, then request deletion — once the 30-day period passes, deletion is permanent.
  • Store the export somewhere safe; the download link may expire.

Troubleshooting

  • "You already have a request in progress": wait for the pending request to finish (or cancel it, if it's a deletion request) before creating a new one.
  • I changed my mind about deleting: while it's still within the 30-day grace period and in Pending/Processing status, click Cancel in the request history table.
  • It won't let me type the confirmation: the field requires the exact confirmation word shown on screen — check for extra spaces.
